This page tells you everything you need to know about how hx·ai (a brand operated by Ideas2IT Technologies LLC, together with its affiliates, “hx·ai,” “we,” “us”) protects the personal data we process and control relating to you (“your personal data,” “your data”) and which rights you have in relation to the processing of your personal data.

This Policy applies to personal data collected through thehxai.com (the “Site”). It does not apply to protected health information (“PHI”) processed within hx·ai's client engagements, which is held on client-controlled systems and governed separately by client contracts and, where applicable, Business Associate Agreements. Which categories of personal data do we collect?

We collect personal data from website visitors, prospective clients, and business contacts. We may collect and process:

  • Contact details you provide voluntarily, such as name, email address, company name, job title, and phone number, when you submit a contact form, request a demo, or subscribe to updates
  • Any information you choose to include in free-text fields of a form
  • Records of correspondence if you contact us directly
  • Technical data about your device, browser, and IP address, collected automatically through the Site
  • Details of your visits to the Site, including pages viewed, referring URLs, and time on page, collected via analytics tools

Where we rely on legitimate interests, we consider that interest is not overridden by your rights and freedoms, given the transparency we provide, our privacy-by-design approach, and the rights available to you below.

Will we share your personal data with third parties?

We may share your personal data with:

  • Third-party service providers that support our operations, including analytics providers, advertising and retargeting platforms (e.g., Google Analytics, LinkedIn Ads, Meta Ads), CRM and email tools, and hosting providers
  • Professional advisors, or public and governmental authorities where required by law
  • A successor entity in connection with a corporate transaction such as a merger, acquisition, or asset sale

We do not sell your personal data. Where analytics or advertising cookies associate your Site activity with other information a vendor holds about you (such as your email address), you may opt out through the mechanisms described in Section 3 below.

What about sensitive data?

We do not seek to collect sensitive data (special category data, including health information) through this Site. This Site is a business marketing and lead-generation site; it is not a channel for submitting patient health information, and you should not submit PHI or other sensitive personal data through any Site form. Your personal data may be processed in the United States and other jurisdictions where hx·ai or its service providers operate, in accordance with applicable data privacy laws.

How long will your personal data be retained?

We retain personal data only as long as necessary to fulfill the purposes described in this Policy, to maintain an ongoing relationship with you, or to comply with legal and contractual obligations, after which it is deleted or anonymized.

Which rights do you have with respect to your personal data?

Subject to applicable law, you may have the right to:

  • Object to our processing of your personal data
  • Request erasure of your personal data

Because our visitors are primarily healthcare organizations and professionals based in the United States, the rights above are generally offered as a matter of good practice rather than because a specific privacy law requires it. That said, if you are a California resident, additional rights under the CCPA/CPRA may apply to you (including the right to know, delete, and opt out of the sale or sharing of personal information, which we do not engage in). If you are located in the European Economic Area or United Kingdom, GDPR rights may apply; contact us and we will address your request accordingly.

2. How do we use cookies and other tracking technologies?

We use cookies and similar technologies to operate the Site, remember preferences, analyze traffic through tools such as Google Analytics, and support advertising through tools such as the LinkedIn Insight Tag and Meta Pixel. The personal data we use for marketing purposes primarily relates to individuals at prospective and current client organizations with whom we have or are developing a business relationship. We may send commercial email in accordance with applicable marketing laws, and our marketing emails and Site interactions may use cookies and similar technologies to understand engagement with our content. You can opt out of marketing communications at any time using the unsubscribe mechanism in any email we send, or by contacting us directly; we will retain minimal data necessary to record your opt-out.
